Managing Bookings in Operational View for Motorhome Hire Companies

Easily track vehicle pickups and drop-offs to streamline your motorhome hire operations.

The Manage Bookings page in Anytime Booking's Booking Management System (BMS) provides a comprehensive way to oversee all bookings. By default, this page lists bookings in order of creation, with the most recently booked appearing at the top.

However, for motorhome hire companies, managing vehicle pickups and drop-offs efficiently is critical. This is where the Operational View function becomes particularly useful.


Switching to Operational View

  1. Navigate to the Manage Bookings page.

  2. By default, all bookings appear sorted by creation date.

  3. Click on the Operational View button (highlighted in red in the first screenshot).

  4. The list will now be rearranged to show Pickup (Arrival) order bookings.

This view makes it much easier to see which vehicles need to be ready for pickup on a given day.

Understanding the Operational View Layout

When in Operational View, the booking list displays additional key information for motorhome hire operations:

  • Pickup Time & Date (1) – When the customer is scheduled to collect the vehicle.

  • Drop-off Date – When the vehicle is expected to be returned.

  • Vehicle Registration (2) – Pulled from the Unit Settings, this helps staff identify vehicles quickly.

  • Transmission Type (3) – Also stored in the Unit Settings, allowing staff to check if a customer requires automatic or manual.

  • Extras (4) – Any add-ons selected for the booking (stored under the Extras area). You can read more about managing Extras here.

  • Driver's Name (5) – The name of the primary driver associated with the booking.

  • Prior Rental Return Date (6) – When the vehicle was last returned, helping staff assess whether servicing or preparation is required.

  • Paperwork Received – Indicates whether the necessary documentation has been submitted by the customer (currently under development)

Key Operational Insights

  • Orange Highlighted Rows: If a row is highlighted in orange, it means that the vehicle is being dropped off and picked up on the same day. These vehicles require urgent attention to ensure they are ready for the next customer.

  • Sorting and Filtering: You can further filter bookings by arrival dates, unit types, or specific guest details using the search filters at the top.
