System Users

Adding Users and Assigning Staff Members, Owners, Housekeepers & Suppliers Access

You can have multiple users within your account, there are no restrictions to the amount of Users, defined either as Staff or Housekeepers with Owners & Suppliers included in the Agency Module.

Users/Staff Members (Config>Access Control>Users/Staff Members>New User)

Users/Staff Members

Create your first User/Staff Member by choosing New User and a pop-up shows to enable you to set their login credentials and the type of User you want them to be.

Details Tab

Here enter their Name and Initials (these are shown on any booking record they amend). Give your user a Username and set the User Type, see definitions:

Staff: Administrator. An Administrator can access all areas of the system in your account. Administrators can view the financial reports and make changes to any settings. Only an Administrator can view the Staff Member access page.

Staff: Standard User. A Standard User can make and amend bookings and also print data such as the Daily Arrivals Report. However, a Standard User can't view any settings or User settings. You can choose to show or hide functionality so the Standard User can see Finances or Modules.

Staff: Super Users. A Super User can access all areas of the booking system across more than one site (if you have more than one holiday park). They can also decide which on which sites Administrators can view the financial details, and can manage User settings.

Please Note: Only Anytime Booking Staff can create a Super User, please let us know if you would like this option.

Cleaner/Housekeeper. A Housekeeper can only view the housekeeping notes and the Housekeeping Report (either daily or weekly reports).

Owner/Supplier. Only applicable to those self-catering agencies with the Agency module.

Booking Rules. If you tick Booking Rules next to a specific Staff member when they make a booking they will have the same rules as an online customer - they can’t break the rules in the Admin area (back office).

Contact Tab

For every User add in their contact details. This is handy for when you need to print out a .CSV of everyone’s addresses to send them a letter, or Christmas card!

Notes Tab

For anything extra you may need to remember for this User.

Settings Tab

Even though there is a User Type for restricting the user access, you might need a halfway house. You can make someone an administrator, but still remove access to the financial data.

Sites Tab

If you have multiple sites, then define which site your User is allowed to access. If a Staff Member needs to view more than one site, we will need to flag them up as a Super User.

Units: Extra Tab Setting for Housekeepers/Owners.

In addition to the tab settings listed above Housekeepers and Owners can have more than one Unit assigned to them (add or remove) and should you need to, their bank details can be kept here too under Notes.

 

Logging in as a Housekeeper

They will be able to view the Diary in a read-only format and generate a Housekeeping Report.

Logging in as an Owner/Supplier (Agency Module)

If you give access to an Owner, they will see a read-only view of the Diary and the Bookings assigned to their Units.

You can decide how much booking information you’d like to give them by going back to the User Settings> Settings tab and ticking the various elements you would like them to view. This includes any reports.

Suppliers don't automatically have access to your account, setting them up as a User purely entitles you to assign them a Unit and keep a record of any expenses within the Agency Module. If you would like us to enable the Suppliers as a User with access, then please contact us to do that for you.
