How do our routine reports work?


ARRIVALS & DEPARTURES

The Arrivals & Departures Report can be a more detailed representation of your upcoming arrivals and/or departures. You may want to use this report on a daily basis during your season to allow you to check in your customers easily.

This report will show you: the arrival/departures, the customer’s name, party size, and the unit which they are booked into. There are extra columns available should you wish to use them.

You can check your guest in using the report (as a webpage), and when you check in a guest from the Dashboard this will update on the report for you too.

Scheduling the Arrival & Departure Report

You can use the 'Schedule' tab to schedule a simple arrival or departure report to send to a specific user daily or weekly.

EXTRAS
The Extras Report allows you to see all bookings where extras have been assigned within a certain date range.

LIMITED EXTRAS

Limited extras are extras that are set to have a certain number available within the extras setup.

The Limited Extras Report shows the dates and availability of extras within a certain date range. For example, this could be used to see how many electric hookups are available and how many are booked out for any given day.

Please note: we advise running this report over a short date range so it is easily viewable when exported to a webpage or a PDF.


UNIT OCCUPANCY

The Unit Occupancy Report allows you to see who is staying where, the duration of stay, and the party size. It is particularly useful for fire regulations.

There are two options for the report format itself: Summary and Detailed

The Summary version will give you occupancy levels by the percentage, weeks occupied and revenue value.

The Detailed version will give you a breakdown of bookings, including the party members checked in (bookings can be checked in via the dashboard or by opening the booking).

If you operate on an open field basis, you will need to view your occupancy using the DETAILED report.

Additional options:

Include Block Offs: 
This will include any block offs made against the unit in the occupancy calculations. Please note, blocks will currently show as a 'Booking' in the 'Nights Occupied' column. 

Include Owner Bookings: 
This will include any owner bookings in the occupancy calculations.

Please note: the report will only include owner bookings if they have been marked as 'OWNER' on the booking source.

This is automatically done when an owner makes their own booking from within your Owner Portal.


To search for occupancy by unit: 

Simply select ‘ALL UNITS’ or ‘ALL CATEGORIES’  – or a single category  – and then select as many of the units you want the report on (if you want a report on them all, select them all by left clicking while holding down the ‘control ‘ or ‘cmd’ button) and then click ‘view report’,

OR if you want a report on a single unit, just select the category and the unit you want to run the report on.

DAILY OCCUPANCY

The Daily Occupancy Report shows the number of people booked on-site over a selected date range, making it especially useful for security purposes.

The Daily Occupancy Report includes guests checking in and those still on-site but excludes those checking out. For the most accurate results, it's best to run this report at the end of the day.

UNIT AVAILABILITY

The Unit Availability Report allows you to see which units are available within a specific date range (similarly to the diary, however the report is in list format).

CUSTOM REPORT

A Custom Report allows you to customise the report. Therefore you can choose which units you’d like to be displayed, as well as the availability, extras etc. 

To select multiple extra columns select 'Command' on your keyboard and select the which columns you wish to add.

AVAILABILITY CHANGES

 ❗The Availability Changes report is currently being updated to provide details on dates that have been blocked or unblocked within a specific date range. ❗


END DATE AUDIT REPORT (SITE)

This report helps you identify which settings may need to be updated across your account. It organises Rates, Party Members, Extras, and Deposits together, whereas the End Date Audit Report (Unit) arranges the settings by unit.

This report functions the same as the End Date Audit Report (Site) but organises the settings by each unit instead.
