How do our financial reports work?

You will find the Financial reports under Reports > Financials. All financial reports can be exported to a webpage, PDF or .CSV file.


CASH LIST

The Cash List Report is the most commonly used report for seeing all transactions associated with any booking, along with how the customer paid you.  This should be an accurate reflection of all monies in and out of your Anytime Booking account.

Please note:
1) Any credit notes applied to the booking do not automatically transfer any money out of your bank account. When you’ve applied your credit and marked it as a ‘refund back to customer’ you will need to then organise your refund by cheque/BACS or by any other means. 

2)Sometimes if you are trying to do a cash list for a full year, it may time out. This is a security measure and only happens around reporting when there is too much data being lifted for the browser to support.

If this happens there is a work-around. You can create a cash list report as normal and email it to yourself by clicking ‘send as email’. It will then generate the report behind the scenes in its own time without timing out and send you the result via email.


BOOKINGS
The Bookings Report is an amalgamation of the Arrivals Report and the Cash List. It can be used as an arrivals list with payment information. You will be able to see: the booked date, arrival date, the departure date, the customer’s name, party size and length of stay as well as the unit they are booked in to. You can also see a simple breakdown of the cost of each booking, including the base cost, any extras, the total cost, how much has been paid to date and how much is left to pay. This report is very useful if you are likely to have arrivals which still have an outstanding balance.

The Bookings Report can also display cancelled bookings. If you click on the drop-down menu next to ‘booking status’ you can select ‘Cancelled Bookings’. This will generate a new report with the cancelled bookings.

Your Bookings Report will show you how many bookings are ONLINE, TELEPHONE, WALK-IN and SALES CHANNELS at a glance. You will see a field labelled ‘Source’ which will tell you whether the booking is online, telephone, walk-in or sales channel. If it has come through a sales channel, the field labelled ‘Agent Name’ will tell you if it is a Pitch Up or Rentals United booking, for example.

BALANCES
The balance report allows you to see a list of all people within a date range that have an outstanding balance. You can see each individual amount, what is due and also the total of all outstanding balances within a date range.

BALANCES TRANSFERRED 
This report will show any bookings where a deposit transfer has been used. For example, if a customer cancels a booking and a credit is issued to them which is then used on another booking.

DISCOUNTS

The Discounts Report will show all CODE-BASED discounts used within a date range.

Please note: if the discount was applied on the 01/01/2025 you will need to ensure your date range covers the full day by changing the date range on the report to 01/01/2025 - 02/01/2025.

CREDITS

The Credits Report will display a list of all customer credits within a date range. It will also show the type of credit method, e.g. refund to customer.

Please note: if your credit was made on the 01/01/2025 you will need to ensure your date range covers the full day by changing the date range on the report to 01/01/2025 - 02/01/2025.
