Customised owner portal for your brand

You can offer your owners a customised portal that reflects your brand identity. We’ll create the portal link for you, and you’ll be able to personalise the appearance to match your branding.

Owner portal permissions

What your owners see in their portal depends on the permissions you set. You can control this by going to Owners > View Owner > Settings

From there, you can customise exactly what information each owner can view.

Modules:

  • Take Owner Bookings – When enabled, owners can create bookings through the portal using the calendar or bookings page.

  • Manage Bookings / Bookings List – Displays the bookings page to the owner.

  • Reports – Enables access to the reporting page.

  • Expenses & Credits – Shows expenses and credits within the Reports page.

  • Owner Summary – Displays the owner’s booking totals on the Reports page.

Booking Search:

  • Cancelled – When selected, cancelled bookings will be visible to the owner on the bookings page.

  • Provisional – When selected, provisional bookings will be visible to the owner on the bookings page.

Booking List / Details:

  • Pricing / Invoice – Displays a pricing breakdown on the booking card.

  • Party Details – Shows the booking’s party details on the booking card.

  • Booking Agent – Displays the booking agent’s logo on the bookings page.

Guest Details:

  • Name – Choose to hide the guest’s name, display the full name, or show the name only when the booking is not provisional. The selected option will appear on the booking card.

  • Address – Displays the guest’s address on the booking card.

  • Contact Number – Displays the guest’s contact number on the booking card.

Notes:

  • Guest – Displays the guest’s special requirements on the booking card.

  • Housekeeper – Displays housekeeping notes on the booking card.

  • Owner – Displays any owner notes on the booking card.

Once you’ve customised the portal theme to match your brand and configured the appropriate permissions, you’re ready to provide owners with access. Simply share the login link along with the username and password you’ve created for them.

          Home

The home page will detail upcoming, new and recent bookings (including owner bookings).

Calendar

The calendar provides your owners with a visual overview of bookings, block-offs, and unavailable dates, all clearly colour-coded. If an owner manages multiple properties, they can switch between them using the property dropdown menu.

If you've enabled the permission for owners to make their own bookings, they can do so directly from the calendar or via the Bookings tab.

Bookings

This section displays all bookings and block-offs across all of your owner's properties. They can easily filter the view by property, date range, and booking status (e.g. owner bookings only) to find the information they need.

When an owner opens a booking, and if you’ve granted the appropriate permissions, they can view a detailed breakdown of the booking. This includes:

  • Total amount

  • Deposit

  • Discounts

  • Extras (only those you’ve allowed them to see)

  • Housekeeper/Owner notes

Make sure to adjust the permissions to control which details are visible to your owners.


Properties

Each property has its own dedicated page, with most settings automatically pulled from the corresponding unit setup. Here’s what’s displayed and where the information comes from:

  • Images: Pulled from the Images tab within the unit

  • Guests: Number of guests allowed for online bookings (set in the Details tab)

  • Bedrooms: Set in the Details tab

  • Bathrooms: Set in the Details tab

  • Pets: Displays as Pet Friendly if this option is selected in the Options tab

  • Description: Pulled from the Description tab

  • Check-in/Check-out Times: Set in the Details tab (arrival and departure times)

  • Arrival Instructions: Includes key code, parking instructions, and directions (from the Details tab)

  • Rates: Defaults to 2025 rates, but you can switch to future years using the dropdown menu

Reports

If you’ve granted your owners permission to view reports, they’ll have access to their Owner Summary here.

This summary provides a detailed breakdown of all bookings, including:

  • Total rental amount

  • Your commission

  • The amount payable to the owner

If you wish to include extras in the booking totals, ensure that ‘Owner’ is selected in the visibility settings for each required extra. You can also choose whether the extra amount is fully payable to the owner, fully payable to you, or commission-based. The owner’s portion of the amount will also be displayed on the booking card.

You can choose whether custom extras are included or excluded within your owner permissions.


Documents

If you upload documents to a unit and grant the owner permission to view them, they will appear in a list here. Owners can then download any of these documents as PDFs for their records.
